Privacy Policy

This policy explains what Shownroom (“Shownroom”, “we”) collects when you use Shownroom, the website, app and property pages for real estate agents, and how we use, share and protect it.

1. What we collect

Your account

Your name and email address, and your password (stored only as a one-way hash) if you sign up with one. If you sign in with Google or Microsoft, we receive your name, email address and profile picture from them.

Your listings

The listing details you enter (address, price, beds, baths, square footage, description) and the photos you upload, plus what Shownroom makes from them: the photo analysis, the film plan and the finished films.

Your purchases

When you buy film credits, you pay on a checkout page run by Stripe, which collects your card details directly. We never see or store your full card number. Stripe tells us the payment went through, and we keep a record of the purchase: the pack, the amount, the date, the IP address it was made from and Stripe’s reference for it. When you save a card, we keep its brand and last four digits to show you, and a fingerprint Stripe gives us for the card (not the card number) so each card gets the free film only once.

Account activity

When you accept our terms, sign in, add a card, buy credits or make a film, we record what happened and when, with the IP address and browser used. We use it to keep your account secure and to answer payment disputes.

Your leads and showings

When someone books a showing or asks a question on one of your property pages, we collect what they send: their name, phone number and/or email address, their question, and the time they picked. We hold it on your behalf so you can follow up; see People who contact you.

Your calendar, if you connect it

If you connect Google Calendar, we read the events on your primary calendar and add events for showings booked through Shownroom. Google Calendar data explains exactly what we access and how it’s used.

How you use Shownroom

A sign-in cookie that keeps you signed in, and basic server logs (such as IP address, browser and errors) that we use to keep the service running and secure. We count page views with Vercel Web Analytics, which doesn’t use cookies or track you across sites.

2. How we use it

  • To provide Shownroom: your account, your listings and films, your property pages, your leads and showings.
  • To offer buyers only the showing times you’re free, and to put the showings they book on your calendar.
  • To take payment for film credits, add them to your account and keep a record of what you bought.
  • To prevent abuse, such as one person opening several accounts for more free films, and to answer payment disputes.
  • To send you account email, such as confirming your address, resetting your password and important notices.
  • To keep Shownroom secure, prevent abuse, and fix problems.
  • To meet legal obligations.

3. AI processing

Listing films are made with AI. To make one, we send your listing photos and details to AI providers (Anthropic, Google Gemini and fal.ai) to analyze the photos, plan the film, write its captions and generate video clips. These providers process the content to return results to us.

We don’t send your calendar, your leads’ contact details or your account details to AI models. Shownroom spots showings on your calendar with simple rules that run on our own servers.

4. Google Calendar data

Connecting Google Calendar is optional and is something you start yourself, in Settings or on the Showings page. It asks Google for one permission, to see and edit events on your calendars (calendar.events), with offline access so Shownroom can keep your availability up to date when you’re not using the app.

What we access

  • For events on your primary calendar from the day before today through about the next month: the title, start and end time, location, the start of the description, whether the event shows you as busy, the attendees’ email addresses and your own response, and the link to the event.
  • We don’t read other calendars, your contacts, your email or anything else in your Google account.

How we use it

  • To show your showings, open houses and busy time on your Showings page.
  • To recognize which events are showings, which of your listings they’re at, and which of your leads is invited (by matching attendee email addresses to your leads).
  • To offer buyers on your property pages only times you’re free.
  • To add an event to your calendar when someone books a showing with you through Shownroom. That is the only kind of event we create. We don’t change or delete events we didn’t create.

How it’s stored and shared

  • We keep a copy of those events in our database, encrypted in transit and at rest, and replace it each time we read your calendar. Your Google access tokens are kept in the same database.
  • Your calendar data is used only to provide these features to you. We don’t sell it, use it for advertising, or share it with anyone except the providers that host our database and servers.
  • People at Shownroom don’t read your calendar data unless you ask us to (for example, for support), it’s needed for security, or the law requires it.
  • We don’t use Google user data to develop, improve or train AI or machine-learning models.

Disconnecting

Disconnect from Settings → Integrations → Google Calendar at any time. Shownroom revokes its access with Google and deletes the copy of your events right away. You can also remove Shownroom’s access from your Google Account at myaccount.google.com/permissions. Shownroom then stops reading your calendar, and the copy is deleted when you disconnect or delete your account.

Shownroom’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. Who we share it with

We don’t sell your personal information or share it for advertising. We share it only with the companies that run parts of Shownroom for us, under contracts that limit them to doing that:

  • Vercel: Hosts the website and app, and counts page views (without cookies).
  • Neon: Runs the database that holds accounts, listings, leads, showings and calendar events.
  • Cloudflare: Stores listing photos and finished films (R2).
  • Trigger.dev: Runs background jobs such as photo analysis and film rendering.
  • Resend: Sends account email: confirmations, password resets and notices.
  • Stripe: Processes payments for film credits and emails your receipts. Your card details go to Stripe, not to us.
  • Anthropic: AI models that analyze listing photos and plan and write listing films.
  • Google: Sign in with Google, Google Calendar (when you connect it) and Gemini AI models for listing photos.
  • fal.ai: AI models that generate video clips for listing films from listing photos.
  • Microsoft: Sign in with Microsoft.

Your property pages, with your listing photos, film, details and name, are public: anyone with the link can see them. If you dispute a payment, we share the records that answer it (your purchase, when you accepted our terms, and your account activity) with Stripe and the card issuer. We may also disclose information if the law requires it, to protect people’s safety or our rights, or as part of a merger or sale of the business, in which case this policy keeps applying to it.

6. People who contact you

When a buyer books a showing or asks a question on a property page, Shownroom handles their information for the agent whose listing it is. The agent decides how to follow up and is responsible for doing so lawfully, including getting any consent needed before texting or calling. Buyers who want their information corrected or deleted can ask the agent, or email us at hello@shownroom.com and we’ll pass it on or help.

7. How long we keep it

We keep your information while your account is open. When you delete your account, we delete your account, listings, photos, films, leads, showings and calendar data within 30 days, except where we must keep something longer by law. Stripe keeps its own record of your payments for as long as tax and financial rules require. Your account activity records are kept for up to two years, even after you delete your account, because a payment can be disputed months after it’s made. A card’s fingerprint is kept as long as we offer the free film, so it can’t get a second one. Backups age out on their normal schedule. The copy of your calendar covers only about the next month, is replaced on each read, and is deleted as soon as you disconnect.

8. Your choices and rights

You can see and change most of your information in the app, and disconnect Google Calendar at any time. To get a copy of your data, correct it, delete a listing or delete your account, email hello@shownroom.com from the address on your account. We’ll answer within 30 days.

Depending on where you live (for example California, or the EU and UK), you may have further rights, such as to know what we hold about you, to object to some uses, and to not be treated differently for using your rights. We honor those requests too. We don’t sell or share personal information as California law defines those terms.

9. Security

Data is encrypted in transit (HTTPS) and at rest with our hosting providers, passwords are stored only as hashes, and access to production systems is limited. No system is perfectly secure; if a breach affects your information, we’ll tell you as the law requires.

10. Children

Shownroom is for real estate professionals and isn’t meant for anyone under 18. We don’t knowingly collect information from children.

11. Changes to this policy

If we change this policy, we’ll update the date at the top. If a change materially affects how we use your information, we’ll tell you by email or in the app before it takes effect.
